Cash, payables and reports

Financial control for aesthetic clinics

Bia brings daily cash, accounts payable, a simple income statement, monthly flow and CSV export together so a clinic can review money in its own time zone.

The finance module turns movements that already exist in the product into a reviewable view. Completed services, sold products, manual entries and paid bills stay identifiable; the report does not invent bank reconciliation or fiscal accounting.

  • Daily cash summary in the clinic's local day
  • Identified income, expenses and payment methods
  • Payables with open, paid and canceled states
  • Income statement, monthly flow and CSV by period

Daily cash starts with the clinic's local day

The summary shows today's income, expenses and net result. Today is not taken from the server's UTC clock: Bia reads the clinic time zone and turns the instant into a civil date before it queries the movements.

The screen lists up to one hundred recent entries with category, description, time, amount, type and payment method. The owner can therefore review what formed the total instead of relying on one unexplained balance.

  • Income and expense stored in cents
  • Business date follows the clinic time zone
  • Net result equals income minus expenses

Entries separate income, expenses and payment method

A manual entry has a category, optional description, amount and type: income or expense. When supplied, the method is one of Pix, cash, credit or debit; invalid values are rejected before they reach the database.

While the day is open, a permitted user can cancel an entry. It does not vanish: the operation keeps the history and the summary stops counting the canceled movement, with an audit record for the action.

  • Positive amount validated on the server
  • Canceling preserves the original record
  • Separate permissions to read and manage cash

Closing stores a snapshot that does not change

Closing cash is a one-tap action after review. The server locks the day, recalculates income, expenses and net inside the transaction, then stores a snapshot with who closed it and when.

After closing, new entries and cancellations for that day are rejected. Reading the summary returns the persisted snapshot instead of recalculating a period the clinic already confirmed.

  • Lock per clinic and civil date
  • Snapshot with the exact closing totals
  • A second close returns a conflict

Payables follow a clear lifecycle

The clinic records a description, amount, due date and optional note for each bill. The date is a validated civil date; the list can be filtered and ordered so open work is not mixed with what has already been handled.

An open bill can be marked paid, entering the report's expenses on the payment date, or canceled without being mistaken for a payment. Paid and canceled bills do not return to open through the same path.

  • Open, paid and canceled states
  • Due date separated from payment timestamp
  • Audit trail for create, pay and cancel

The income statement and monthly flow use real sources

The simple income statement sums completed services, product sales and manual income for the selected month. On the other side it includes manual expenses and bills actually paid; net is the difference between those groups.

Monthly flow organizes income and expenses by day using the clinic time zone and selected period. Before showing the flow, the server checks that historical service prices are complete so missing revenue is not hidden.

  • Month validated as YYYY-MM
  • Services, products, cash and paid bills stay distinguishable
  • Display currency follows the market setting

CSV and filters make the month easier to review

The monthly report can be exported as CSV with total revenue, expenses, net result and one row per day for income, expenses and balance. The file uses the configured currency and keeps the report's period order.

The export is a copy of what the server calculated for that month, not a second source of truth. Comparing it with cash and payables helps find a manual entry that needs review before the next close.

  • Spreadsheet-friendly report file
  • Totals repeated in the report header
  • Export protected by the same read permission

What finance organizes — and what stays separate

Bia gives the clinic an operational view of money, but it does not turn that view into accounting or automatic bank reconciliation.

  • DRE here means a simple management report; the module does not calculate taxes, fiscal obligations or official accounting.
  • Completed services, sold products, manual income and paid bills enter through their own paths; bank statements and gateways are not promised to reconcile automatically.
  • Closing is an immutable snapshot of the day. A correction must follow an authorized review flow instead of editing the snapshot outside the product.
  • Commissions have their own rules and report; the income statement adds revenue and expenses but does not calculate payroll, bank transfers or professional tax.
  • Presentation currency and time zone come from the clinic setting; changing language does not change the currency charged by billing.

Frequently asked questions

How financial control works in a clinic's routine

What appears in the cash summary?

Income, expenses and net result for movements on the clinic's civil day. The list shows category, amount, type, time and payment method for entries.

Can I add or cancel an entry after closing?

Not through the normal flow. Closing locks the date and the server rejects new entries and cancellations for that day while preserving the confirmed snapshot.

Which states can a payable have?

It starts open and can be marked paid or canceled. A paid bill enters expenses on its payment date; canceling it does not record a payment.

What does the simple income statement count?

Completed services, product sales and manual income form revenue. Manual expenses and bills actually paid form expenses for the chosen month and time zone.

Can I export the report?

Yes. The CSV endpoint produces monthly totals and a daily row of income, expenses and balance using the clinic's configured currency.
