Retention

Loyalty and referral programme for an aesthetic clinic

Every client has a points balance with a history of everything that came in and out. When a client refers someone and that person is registered, the bonus is credited in the same operation — it does not depend on anyone remembering later.

A returning client costs less than a new one. The programme exists to make that return visible and recorded, instead of a verbal arrangement that vanishes when the receptionist changes.

  • Points balance per client, with a history of every movement
  • Referral bonus credited alongside the referred client's record
  • A count of how many clients each one has brought
  • Manual adjustment with a mandatory reason
  • The balance never goes negative: the server refuses
  • Birth date on the record, so the date can become contact

A referral that does not rely on memory

When registering the new client you state who referred her. The referrer's credit happens in the same transaction: either both happen or neither does. There is no case where the referred client lands and the bonus is lost.

History instead of a loose number

The balance is the sum of events, and each event is recorded. When the client asks where the points came from, the answer is on screen — and when someone adjusts the balance by hand, the reason is mandatory and lands in the audit trail.

The balance never owes

A deduction larger than the balance is refused by the server rather than corrected afterwards. It is the same rule that stops the cash book closing on an impossible number: better the operation fails now than produce a state nobody can explain.

What the programme does not do

Real limits:

  • It is not cashback or credit convertible to money: these are your clinic's points
  • It does not decide how many points each treatment generates — the redemption rule is the clinic's
  • It issues no cards, vouchers or coupons
  • It does not fire the birthday campaign on its own: the date sits on the record and sending belongs to automation

Frequently asked

Questions about loyalty

How many points is a referral worth?

The default bonus is credited when the referred client is registered, and manual adjustment lets you change the balance with a recorded reason. The policy on what each thing is worth stays the clinic's.

Can I see who refers the most?

Yes. The record shows each client's referral count next to the balance and the history.

What if I post something by mistake?

Manual adjustment fixes it, requires a reason and lands in the audit trail. Nothing is erased — the correction enters as one more event.

Turn a referral into a record

Register who referred and watch the bonus land with it, with no reminder needed.
